We are seeking a Member Services Representative who is energetic, personable, resourceful, well-organized, has the ability to multi task, with superior customer service skills, and excels in a fast paced, challenging work environment. If that sounds like you, then this is your ideal job!
The Kelowna Family Y currently has a 5,000 sq. ft. fitness/conditioning room area, a 1,500 square-foot aerobics studio, 8-lane 25 meter pool with separate dive tank, small leisure pool, hot tub, sauna, steam room, and two multi-purpose rooms. We have nearly 4,000 members and a high number of public drop-ins and are planning for growth with expansion plans that include a gymnasium, walking track, youth zone and two additional multipurpose rooms.
Reporting directly to the Member Services Director, the Member Services Representative is responsible for welcoming all customers and members to the Kelowna Family YMCA-YWCA. The main objective is to increase membership sales, program participation and retain existing members with excellent ongoing customer services.
The goal of the Member Services department is to exceed our members’ expectations in the way we provide customer service. Our facility is open to all and services a diverse population. We strive to create a friendly and welcoming atmosphere for all to enjoy.
Duties & Responsibilities:
- Meet and exceed customer’s expectations in all service aspects at the Membership Services desk.
- Complete all membership related duties and program registration administrative functions.
- Accurately complete all sales transactions, payments, and balancing.
- Communicate and be knowledgeable of all information and be able to clearly and concisely relate to customers in person and over the phone.
- To support and work as part of a staff/volunteer team ensuring excellent customer service.
- Be proactive and Sell Y memberships to potential members.
- Perform a variety of administrative duties related to memberships
- Attend staff meetings, planning sessions and training events as required
- Other duties as required by Membership Services Manager and/or Supervisor
Knowledge, Skills and Abilities on the Job:
- Enthusiasm, energy, interpersonal and organizational skills necessary to develop a positive working environment
- Excellent communication skills and the ability to effectively resolve conflict
- Flexibility to work non-routine shifts including early morning, evenings and weekends as necessary
- Ability to reconcile and ensure accuracy of cash deposits, petty cash funds and related financial procedures
- Ability to prepare a variety of non-routine documents and reports
- Ability to provide exceptional customer service to both internal and external customers
- Ability to recognize and act to resolve problems
- Excellent keyboarding, data entry skills, mathematical aptitude as well as established attention to detail and accuracy
- Ability to establish and maintain effective working relations and to work effectively and efficiently within a team environment
- A demonstrated ability to prioritize, organize and multitask to meet operational requirements
- Identify and create opportunities to enhance each and every person’s experience at the Kelowna Family Y
- Maintain an up-to-date knowledge of the programs and offerings at the Kelowna Family Y

Qualifications:
- Exceptional customer service skills
- Experience in customer service and related positions considered and asset
- Computer and cash handling experience
- Ability to work flexible hours including mornings, evenings, and weekends
- Personal interest in health & fitness
- Satisfactory criminal record check
- Current CPR C and Standard First Aid
Compensation:
- The Y offers a competitive and comprehensive compensation package which including a comprehensive benefits package.
- Hourly Rate: $11.00 during 6 month probation, $13.00 upon successful probation, $14.00 one year after probation.
