The Executive Assistant reports to the Owner/President and General Counsel/Director of Strategic Development and is responsible for performing senior level administrative support and personal assistance to the President.

Responsibilities:

  • Typing or word processing letters, memos etc. from written drafts or other sources
  • Assisting with key customer contracts
  • Gather information and respond to Request For Proposals from our customers with the highest degree of professionalism
  • Scheduling appointments, meetings, travel arrangements and company vehicles
  • Calendar, email and contact management
  • Handling confidential issues and materials
  • Prioritizing and manage multiple projects in a timely manner
  • Involved in creating company marketing materials
  • Screening correspondence and requests
  • Liaising and working with other executive assistants, managers and directors in the Company
  • Relief and back-up for Executive Assistant to Directors of Human Resources and CFTS
  • Coordinating internal and external meetings and events (agenda, venue, catering, invitations and reference materials)
  • Maintaining records
  • Perform miscellaneous administrative duties as assigned

Requirements:

  • Minimum of 5 years administration experience with experience in a legal environment
  • Office Administration or related post secondary education
  • Excellent communication skills, both written and spoken
  • Expert knowledge of MS Office, including Word, Excel, Power Point, Publisher and Outlook
  • Experience working for a high level position
  • Self-starter
  • Ability to be flexible and adaptive
  • Attention to detail is crucial
  • Skilled in organizing resources and establishing priorities
